JOB OBJECTIVES
Oversees and manages all billing activities for trucking, hauling, and yard operations. This role ensures that all billings are accurate, complete, and issued on time based on client contracts, trip tickets, and service records. The Billing Manager works closely with Operations, Dispatch, and Accounting teams to ensure proper documentation, compliance with BIR regulations, and timely revenue recognition.
DUTIES AND RESPONSIBILITIES
Overall Key Responsibility – Billing Operations
Supervise the end-to-end billing process for trucking and yard services.
Ensure accuracy of billing details such as trip tickets, gate passes, fuel charges, demurrage, and rate applications.
Verify supporting documents (JO, PODs, contracts, delivery receipts, etc.) before invoice issuance.
Monitor billing timelines and ensure invoices are submitted to clients promptly.
Ensure that all billings comply with BIR requirements (VAT, EWT, ORs, etc.).
Process Management & System Improvement
Implement and improve billing procedures to align with trucking and yard operational workflows.
Coordinate with IT or system developers for automation or integration between billing systems (e.g., IBS and SAP).
Regularly reconcile operations data (trip monitoring sheets, GPS records, weighbridge data) against billing records.
Identify and correct discrepancies to ensure completeness of billings.
Team Management
Lead, train, and supervise the billing team in daily billing preparation, validation, and submission.
Review performance, assign workloads, and ensure team efficiency and accuracy.
Promote accountability and continuous improvement within the team.
Coordination and Communication
Work closely with Operations, Yard, and Dispatch teams to validate trip completions, service confirmations, and rates.
Coordinate with Collection/AR team to resolve billing disputes or client queries. Communicate with clients regarding billing concerns, adjustments, and supporting document requirements.
Compliance and Reporting
Ensure all billing are posted on or before the month-end deadlines.
Provide monthly Billing Report and KPI.
Maintain organized billing files and records for audit purposes.
Prepare billing summaries, revenue forecasts, and reports for management.
Support external and internal audits by providing required documents and reconciliations.
JOB QUALIFICATIONS
Must possess at least a college degree of Bachelor of Science in Accountancy or related field;
Minimum 5 years of experience in billing or accounting, preferably in trucking, logistics, or yard operations.
Strong understanding of billing for trips, tonnage, demurrage, and yard storage fees.
Experience in SAP and MS Office applications especially Microsoft Excel is an advantage;
Proven knowledge in financial statement preparation and analysis, bookkeeping and accounting practices and standards, taxes and other government regulations.
Strong analytical and problem-solving skills and results oriented.
Knowledgeable in BIR regulations (VAT, withholding tax, invoicing requirements).
Proficient in ERP or billing systems (SAP, IBS, or equivalent) and MS Excel.
Excellent organizational skills and attention to detail.
Strong leadership, analytical, and communication skills.
Excellent written and verbal communication skills, including ability to interact effectively with all levels throughout Company organization;
Can work on flexible hours to meet changing work environment and to meet tight deadlines.
